Privacy Policy

This Privacy Policy explains how Beyond My Books ("we," "us," or "our") collects, uses, and shares information when you use our website, web application, and mobile applications (collectively, the "Service"). By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.

We collect the following categories of information:

• Account information - your name, email address, password (stored hashed), household or co-op name, and state.
• Education records you enter - student names, grade levels, curriculum, lessons, grades, attendance, books, activities, test scores, transcripts, and notes. This information is entered by you, the parent or co-op administrator, about students in your care.
• Documents and uploads - files you upload, such as notices of intent, evaluations, immunization records, portfolios, receipts, and assignment submissions.
• Scholarship information - scholarship program enrollment, award and balance details, and purchases you log against a scholarship.
• Payment information - billing name and address. Card details are collected and processed directly by our payment processor (Stripe); we do not store full card numbers on our servers.
• Photos and audio (mobile app) - with your permission, the mobile app uses your camera and microphone to capture and transcribe receipts. Captured media is used to create a record in your account and is not used for any other purpose.
• Usage and device information - basic technical data such as IP address, browser or device type, and log information used to operate and secure the Service.

We use the information we collect to:

• Provide, maintain, and improve the Service and your account;
• Track compliance against your state's homeschool requirements and your scholarship program's rules;
• Process subscription payments and send receipts and billing notices;
• Send deadline reminders and account-related emails (you can turn reminders off in Settings);
• Enable co-op and tutor features you opt into, such as sharing a student's grades and attendance with a co-op you have requested;
• Provide optional AI features (see Section 4);
• Secure the Service, prevent abuse, and comply with legal obligations.

Some features use third-party artificial-intelligence providers (currently Anthropic) to help with tasks such as drafting portfolio narratives, answering compliance questions, and reading details from a receipt photo. When you use these features, the relevant content (for example, the records used to draft a narrative, or a receipt image) is sent to the AI provider to generate a result. We do not use your data to train third-party AI models, and AI output is a draft you review and control.

We do not sell your personal information. We share information only as follows:

• Service providers - vendors that operate the Service on our behalf, including payment processing (Stripe), AI features (Anthropic), email delivery, and cloud hosting. They may only use your data to provide services to us.
• Co-ops and tutors you connect with - if you request a co-op or tutor through the in-app community and they accept, the records for the subjects they teach (such as grades and attendance) are shared with that co-op so they can perform those functions. You control these requests.
• Legal and safety - when required by law, to enforce our Terms, or to protect the rights, property, or safety of our users or the public.
• Business transfers - in connection with a merger, acquisition, or sale of assets, subject to this Policy.

The Service is intended for use by parents, guardians, and homeschool co-op administrators - not by children. Records about minor students are entered by an adult account holder about students in their own care; we do not knowingly collect personal information directly from children under 13. If you believe a child has provided us information directly, please contact us and we will delete it.

We retain your information for as long as your account is active. If you cancel, your data remains accessible for a period after cancellation so you can export it, after which your account and its associated data are deleted. We may retain limited records as required for legal, tax, or security purposes.

• Access & export - you can export your records at any time from Reports → Data Export.
• Correction - you can edit your account and records directly in the app.
• Deletion - you can delete records, or cancel your account to have your data removed after the retention period.
• Email preferences - you can turn off deadline reminders in Settings; we will still send essential account and billing emails.

To make a request you cannot complete in the app, contact us using the details in Section 12.

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

We use only the storage necessary to operate the Service - for example, authentication tokens that keep you signed in. We do not use third-party advertising trackers.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above and, for material changes, provide additional notice. Your continued use of the Service after an update means you accept the revised Policy.
